Introduction
You can quickly reply to or forward any message immediately after opening and reading
it. A reply, of course, is an answer to a message sent to you, and a forward is a message
you have received that you send on to others. Outlook creates a reply or forward message
that includes all the original text. When you reply to or forward a message, the action
and the date are recorded in the original message (and copies of your replies and forwards
are kept in the Sent Items folder).
|
Step 1: Click Reply
To reply to an open message, click the Reply button to open a Reply Message window.
If the message you received has names in the Cc box, you can send your reply to all
of the recipients by clicking Reply to All instead.
|
Step 2: Enter Your Reply
The Reply Message window includes the original text with the sender's name in
the To text box. Select and delete any text you don't need to include. Type your
response to the message. (Text you type in the reply area is blue, and if your
correspondent reads your message in Outlook or Windows Exchange, they will see
your response in blue.)
|
Step 3: Send Your Reply
When your reply is ready, click the Send button on the message window's toolbar.
|
Step 4: Or Forward the Message
To forward an open message to others, click Forward in the original message
window. This opens a new copy of the message.
|
Step 5: Enter the Forwardee's Address
Fill in the To box with the address of the person you're forwarding the message to.
Add a note at the top of the message (it appears in blue to anyone reading it in
Outlook or Windows Exchange), and select and delete any text you don't want to include
in the forwarded message.
|
Step 6: Send It Forward
When the message is ready to be forwarded, click the Send button on the message window's toolbar.
